Overview of different embroidery file formats: what to check when buying embroidery designs

You love a design at first sight, you buy it, and at the embroidery machine you realize: wrong format, too big for your hoop, or no instructions for the ITH project. A few checks before you buy save you that frustration. This guide covers what to look for when buying embroidery files and machine embroidery designs.

1. Does the format match your embroidery machine?

Every machine brand uses its own embroidery file formats. Before you buy, find out which format your machine reads:

FormatTypical machines
PESBrother, Baby Lock
DSTTajima, many multi-needle machines
JEFJanome
EXPBernina, Melco
VP3Husqvarna Viking, Pfaff
HUSolder Husqvarna Viking
XXXSinger

Many designers deliver their designs in several formats at once. Still, check the description to make sure yours is included. Converting to another format is often possible, but it can change details such as thread colors or previews. To learn why there are so many formats in the first place, read Embroidery file formats: why are there so many?

2. Does the design fit your hoop?

The hoop size decides whether a design fits your machine at all. Common sizes include 4 × 4 in (100 × 100 mm) and 5 × 7 in (130 × 180 mm). Make sure the design fits the stitching area of your embroidery hoop, not just its outer dimensions.

Many designs come in several sizes. If you buy a set, check which sizes are included and whether yours is among them.

3. Keep stitch count and density in mind

The stitch count tells you roughly how long stitching will take and how much thread you’ll need. A large full-stitch design with many stitches takes much longer than a scribble design of the same size.

Stitch density affects which fabrics the design works on. Very dense designs can pucker thin or stretchy fabrics. If you’re unsure, do a test stitch on a scrap.

4. Are instructions included?

For in-the-hoop projects such as bags, stuffies or key fobs, good instructions matter as much as the file itself. They explain the order of the steps, when to place fabric and when to stop the machine. Some designers also offer video tutorials.

Before you buy, check whether instructions are included and which language they’re in.

5. What materials do you need?

Many designers recommend a specific stabilizer and fabrics. Appliqués need extra fabric scraps; some projects need zippers, stuffing or ribbons. A quick look at the materials list keeps you from discovering halfway through that something is missing.

6. What does the license allow?

Can you sell stitched items? How many? Do you need to credit the designer? Each designer decides. Some allow personal use only, others allow selling stitched one-offs or small batches. Sharing the embroidery file itself is almost always prohibited.

If you want to sell your embroidery, read the license terms before you buy and keep them with the file.

7. Buy from the designer or a trustworthy platform

Embroidery designs are the work of designers who make a living from them. Copies from questionable sources aren’t just unfair; they’re often poorly digitized or incomplete. Buy directly from the designer or from platforms where designers offer their designs themselves.

8. Avoid buying the same design twice

If you’ve been embroidering for a while, you know the feeling: a design looks familiar, but can you find it in your folders? Before you buy, check your collection. With embroidery file management like emborado, you find designs through previews and by searching for what’s in them, even without knowing the file name. Duplicate detection also recognizes identical files by their content.
